Fit checks before anyone pays a deposit

Students should be ready to keep meal and teaching times, dress modestly at school, accept random rooming in the volunteer house if that is the chosen lodging, and live with possible water or power cuts. Families should be ready for unsupervised-afternoon risk to sit with the traveler, because the guidebook says so. Schools should be ready to run a pre-departure workshop rather than outsource character development to a van. Divers should be ready for medical screening and the possibility of not being certified if skills are not met.

If those sentences feel like too much structure, choose a holiday. If they feel like the minimum for being in someone else’s classroom, send the inquiry.

After first contact

Expect questions back: group size, swimming comfort, dietary needs that affect meal timing, and whether any participant needs documented lodging exceptions. The volunteer house does not take ordinary roommate requests; exceptions require proof through the responsible lead. Itinerary changes inside two weeks of departure are restricted in the source rules. Plan slowly.

Nothing on this form creates a contract. It is a checklist so the first human conversation is specific. Privacy language is on the privacy page; treat it as a draft until a lawyer reviews the operating entity.

What happens after a good inquiry

Expect clarifying questions, not a PDF invoice in sixty seconds. Expect to be asked about swimming, lodging, and whether a school chaperone is traveling. Expect to be told if a window is simply not workable. A fast yes to every request would be a different, less careful operator. If you need institutional paperwork, say so early: safeguarding policy, hour letters, whether a foundation certificate is even available this year.

If you are comparing multiple vendors, compare hour honesty and child-image rules, not who has more stock photos. Bring that comparison to the conversation; we would rather lose a customer who needs a twenty-country menu than win by imitating one.

Groups versus individuals

Individuals still fill the same form. Groups should name a single coordinator so Linda is not answering twelve versions of the same question. Students should still produce their own briefs; a coordinator cannot pack eighteen personalities into one lesson plan and call it a lab.
