What the folder must hold
A journey portfolio is not a cloud dump of 400 photos. It is a small, dated set: readiness checklist, lesson brief, role list, attendance or hour note, family-message screenshot with personal data trimmed, reflection, and an ethics note about what was not filmed. Optional: confined-water and dive records if the Tulamben pathway was real.
The 2020 certificate of appreciation shows one historical way hours were documented with Bali Rastiti Bhakti Foundation. Your letterhead may differ. The portfolio should still be able to answer: who taught, when, for how long, on what theme, under whose host authority.
Review
Mentors and schools should reject folders that only contain temples. They should reject folders that name children. They should accept folders that admit a game failed. The portfolio-review article gives a scoring conversation; this offering is the container.
Students building a longer arc—multiple journeys, language study, later research—can use the same spine. The next-step-plan article is for that. Do not fake a longer arc with adjectives.
Naming and access
year_lastname_bali_teaching.pdf. School drive with limited access. Student keeps a copy. Mentor comments attached. Retention: follow school policy; if none, keep two cycles then delete photos even of materials if they include people in the background.
Export
Before a student leaves school, export a redacted copy they can keep. Do not let the only copy live in a teacher’s personal cloud. Portfolios that vanish cannot support the long-term pathway article, and they cannot protect anyone if a dispute arises about hours.
A walk through a finished folder
Open the PDF. Page one is a contents list with dates. Page two is the readiness grid, initialed. Page three is a packing photograph in which knees and toes are actually visible, not a cropped selfie. Page four is the lesson brief with roles. Page five is the brief after teaching, with three handwritten lines: cut, keep, never again. Page six is the hour log matching Saturday launch, Sunday school, Monday community center, Tuesday close. Page seven is a reflection that names a host action. Page eight is an ethics note: no child photographs, gifts were identical, unofficial guests were not invited. Appendix, if any, is dive training without stealing the main narrative.
That walk takes a reviewer twelve minutes. If your system requires a login maze, you have overbuilt. If your system is a thousand JPEGs named IMG_4521, you have underbuilt. The portfolio system offering is the middle: a small PDF with a naming convention, a place to put mentor comments, and a rule for redaction.
When a student wants to add a temple sunset, ask whether it changes the argument. If it does not, it stays on their personal camera. Portfolios that accept every pretty file become the camera roll they were supposed to replace. Be boring. Boring is reviewable. Reviewable is how schools evaluate without lying.
After graduation, export. Do not hold student work hostage in a teacher account. Do not let a marketing intern browse the drive for “color.” Color is how faces return. The system includes a no. The no is the most important feature.
When a student loses the laptop
The system should assume loss. Export a copy to the school drive after each marked stage: readiness, brief, post-trip. If the only copy is on a device in a bag that also holds a German adapter, you will lose both at a money changer. Redundancy is not paranoia. It is tropical service travel.
Paper backup of the hour log fits in the document folder. Ink survives dead batteries. The portfolio system can be digital-first and still have one paper spine. Schools that refuse paper will someday refuse evidence.
If a device is stolen, you have a safety incident and a privacy incident together. Tell the lead. Change passwords. Do not rebuild the portfolio from a camera roll of children “because we lost the real file.” Loss is not permission.
