Put the boring stations first
A pre-departure workshop that opens with a Bali playlist has already told students what matters. Open with a paper audit. Then a clothing audit. Then a fifteen-minute microteach. Then a leisure-risk case: “It is 21:30 and someone wants a scooter.” Then contacts. Food and photos can exist at the end as optional social glue, not as the point.
Time it. Ninety minutes can work if you are ruthless. Three hours can work if you include a full rehearsal. Overnight retreats are optional and not in the PDFs, so do not pretend they are required for this operator.
Staffing
You need someone who will fail a sandal and someone who can coach a brief. That may be one teacher. It may be a journer mentor through application. It should not be a senior student whose only credential is a previous tan.

Room setup
Stations beat lectures. Paper station, shoe station, brief station, risk station. Move bodies. The itinerary moves bodies; the workshop should too. Provide water. End on time so you model the meal-window discipline the guidebook requires.
Invite a skeptic
A faculty member who hates service trips is a gift. Ask them to attack hour inflation and photos. Build their attacks into the workshop. If you only invite believers, you will fly with untested stories.
After the workshop, the silent week
The days between workshop and wheels-up are where sandals creep back into the bag. Send one reminder with the packing photo request, not ten memes. Offer office hours for brief questions. Do not add a second workshop unless the first revealed systemic failure. More meetings can be a way to avoid marking the files you already have.
Collect the signed conduct lines and file them. If a student later invites an unofficial guest, you will need that paper. Workshops without records are parties. Parties are fine. They are not this offering.
Invite one parent to the last fifteen minutes to hear the leisure-risk sentence, then send them out so students can still own the brief. Mixed audiences confuse the room: students perform for parents, parents perform concern. Split them. Design of the workshop includes who is allowed to sit where.
Workshop length versus cohort size
Twelve students can microteach in ninety minutes if you run two rooms. Thirty students cannot. If you have thirty, you do not have a workshop; you have an assembly. Split them or do not travel thirty. Planning a workshop includes the courage to say the group is too big for the method. The source class size is two to three for a reason. Your workshop should not be a stadium.
Facilitator ratio: one adult who will fail a sandal per twelve students. If you cannot staff that, you cannot staff Bali. The workshop is a test of adult capacity as much as student packing.
End when the energy becomes sarcastic. Sarcasm at the end of a long workshop is how rules become jokes. Better a short workshop that holds than a long one that teaches irony.
Where to put Linda’s number in the room
Write it on the board at the start and do not erase it. If the only copy is in a slide, it dies when the projector dies. Workshops should treat the emergency channel as a physical object. Objects are how people remember at 01:00.
