Designing a School Service Trip

Design from hours and harm, not from posters

A school service trip to Bali using journer’s source week is a short exchange. Design the academic wrapper to be long: seminars on culture, ethics, lesson design, and language. Design the in-country piece to be bounded. Design chaperoning for classrooms and for free afternoons separately, because the operator’s safety claim is not the same in both.

Put HCIA language in the procurement file as source-itinerary collaboration, not as a slogan on a T-shirt. Put lodging rules in the parent pack. Put photo rules in the student contract. Put diving medical gates in writing if water is offered.

Kill criteria

If you cannot staff safeguarding, do not go. If students cannot produce briefs, do not go. If the only assessment is a slideshow, do not go. A cancelled trip is better than an extractive one.

School journey cohorts exist as the product name for this design. The evaluation insight is the assessment half. Read both before you ask for a custom calendar.

Risk register

List: missed teaching, medical dive issues, unofficial transport, photos, heat illness, lost documents, nightlife. Assign an owner for each. If the owner is “nobody,” you have designed a hope. Hope is not a chaperone.

Communication tree

Student → chaperone → Linda’s channel for operator issues. Parent → school, not a random house worker at 02:00, unless it is a true emergency. Draw the tree in the packet. Design includes who is allowed to call whom.

Calendar design around exams and ceremonies

Your exam week and Bali’s ceremonial calendar do not care about each other. Design with both. Ask, in application, whether a proposed window collides with local holy days that would empty a classroom. Do not demand that a host skip a ceremony so your seniors can tick a box. If the window is wrong, move the window or stay home. Design includes the dignity of other people’s time.

Build a plus-one day of slack on either side of the source pattern so delayed flights do not eat Saturday’s launch. Open arrival on Friday exists to absorb some of that, not all of it. Students landing Saturday afternoon have already failed the first academic block if you attached credit to the launch. Say that before tickets.

Chaperone rotas should cover nights, not only classroom hours, because leisure risk lives at night. A teacher who marks papers until midnight and then “sort of” supervises is not a design. They are a hope. Hire enough adults or send fewer students.

Designing for students with disabilities

The source PDFs do not describe accessibility of sites, vans, or houses. Do not pretend they do. If a student needs accommodations, ask in application as a specific constraint, early. Do not assume a volunteer house with possible stairs and outages will work. Do not assume a shore entry in Tulamben will work. Design is asking, not hoping the island will be kind.

Teaching-only may be the more inclusive route, or it may not, depending on the classroom. Hosts can advise. Instructors can advise. This website will not invent a ramp that is not in the file.

Include rest as a designed element, not as a personal failure, for anyone whose body needs it. Heat is a disability issue for more students than schools admit.

Designing the night before launch

Do not schedule a tourist dinner that returns at 23:00 on Friday if Saturday starts at 09:00. Design includes sleep before the ceremony. Schools that treat Friday as already holiday will teach hungover. Hungover is not a learning outcome we will name.
